FREE FACILITY MANAGEMENT GUIDE
Build a property maintenance calendar
A maintenance calendar gives every property a predictable rhythm while leaving room for seasonal needs, tenant issues and corrective work.
1. Group tasks by timing
Create daily or weekly site walkthroughs where appropriate, monthly equipment and common-area checks, quarterly contractor reviews and annual planning tasks. Always follow required legal and manufacturer schedules first.
2. Account for seasons
Before heating and cooling peaks, confirm appropriate system checks with your contractors. Schedule grounds, drainage and weather-preparation work around local climate instead of applying one seasonal plan everywhere.
3. Assign owners and reminders
Each task needs a location, assignee, due date and clear completion criteria. Use shared records for vendor visits and inspections so staff do not rely on personal calendars alone.
4. Review after every month
Move incomplete tasks visibly, record reasons for delay and create corrective work orders for problems found. Revisit the calendar when equipment, building use or staffing changes.
This guide is general information. Check manufacturer instructions, workplace procedures, local requirements, and qualified professionals for regulated, hazardous or specialized work.
