How to manage maintenance supplies inventory
Keeping every possible spare part is expensive, but running out of routine supplies can slow down simple repairs. Track a focused inventory tied to actual work.
1. Choose critical stock items
Start with consumables and parts used frequently, especially those with long delivery times. Confirm compatibility before stocking filters, belts or replacement electrical parts.
2. Set reorder points
For each item consider average consumption during supplier lead time plus a sensible buffer. Example: if you normally use eight filters during a delivery window, consider a reorder point above eight based on volatility and storage space.
3. Connect items to work
Record parts issued to work orders and use counts to refine purchasing. Where practical, label storage bins and note supplier, unit cost and part number.
4. Audit and prune
Check inventory periodically for missing, obsolete and expired items. Retire incompatible stock after equipment replacements and adjust reorder points using real usage instead of guesses.
