How to build an HVAC filter replacement schedule
There is no single replacement interval that fits every commercial HVAC system. A good schedule combines manufacturer recommendations with actual conditions in the building.
1. Record the specifications
Capture the unit ID, filter type, size, MERV rating required for the system, number of filters and where to access them. Verify compatible filters using the equipment documentation or a qualified HVAC professional. Higher-rated filters are not automatically appropriate for every system.
2. Set inspection dates
Start from the manufacturer or service contractor's guidance and inspect filters more often in dusty spaces, high-occupancy buildings, and during heavy use. Record filter condition and pressure-drop readings when your system provides them. Do not substitute a generic calendar interval for measured performance.
3. Estimate annual material needs
Multiply the number of filters by expected changes per year, then add a reasonable allowance for unexpected replacements. For example, 20 filters replaced four times a year equals about 80 filters, subject to actual site conditions. Compare planned purchases with what was actually used.
4. Keep a replacement log
Document who replaced each filter, the date, filter specification and next inspection. If airflow, odor, or air quality complaints persist after changes, investigate the cause rather than simply shortening the interval.
