Facility maintenance KPIs worth tracking

Useful maintenance metrics help a small team decide what to fix next. Start with a handful you can measure consistently rather than dozens of dashboard numbers.

1. Work order aging

Count open requests by priority and by days outstanding. Investigate work that has waited longer than the agreed response target. Averages alone can hide individual requests that are stuck.

2. Preventive maintenance completion

Measure completed scheduled tasks divided by tasks due in the period. Track overdue critical tasks separately so a strong overall rate does not conceal missed essential work.

3. Repeat problems and downtime

Identify assets with recurring failures, frequent callouts or operational downtime. Confirm that the underlying issue has been investigated before assuming a replacement is necessary.

4. Cost and response trends

Compare recurring cost, emergency spend and time from reported issue to first response. Define each metric clearly so monthly comparisons are fair, and review context before rewarding or penalizing staff based on a single number.

Try this with your team: Identify one building, one owner and one manageable next step. Revisit the record after 30 days to see what improved.

This guide is general information. Check manufacturer instructions, workplace procedures, local requirements, and qualified professionals for regulated, hazardous or specialized work.
