How to plan an annual facility maintenance budget
A maintenance budget is easier to defend when it starts with the work you expect to perform rather than a single arbitrary percentage of revenue.
1. Estimate planned tasks
List recurring services such as HVAC checks, filter changes, landscaping, cleaning contracts and scheduled inspections. For each task multiply its annual frequency by an estimated cost, including labor and supplies where relevant.
2. Use past corrective costs
Review your prior work orders and invoices by asset or category. Include common callouts, expected wear items and repeat repairs, but separate one-off capital improvements from routine expenses.
3. Allow for uncertainty
Set a contingency that matches equipment age, condition, exposure and business criticality. A reserve is a planning assumption, not a guarantee against major failures. Review the estimate with your accountant or facility leadership before making spending commitments.
4. Monitor actual versus planned
Compare actual spending against the budget monthly. Record the reason for large differences, revise forecasts when facts change, and decide when repeated repairs justify a replacement analysis. Use the free calculator on this site to sketch a first estimate.
