Maintenance cost calculator
Estimate annual facility maintenance spending from labor, vendors, repairs, and supplies.
Enter your best annual estimates to see a simple planning total and cost per square foot. This calculator runs in your browser; it does not save or send the numbers you enter.
Planning estimate only. This is not a quote, industry benchmark, or accounting advice. Include only costs that belong in your own maintenance budget, and use your actual payroll, invoices, and service agreements where available.
How the estimate is calculated
Annual labor cost is estimated as labor hours multiplied by the average loaded hourly rate. The calculator adds that to annual contractor agreements, repairs and parts, and supplies. It divides the total by 12 for a simple monthly average, then divides by building area when you provide square footage.
It does not account for capital replacements, utilities, taxes, financing, or costs you leave out. Compare the result with actual invoices and budget categories before using it for planning.
Use the estimate to plan the next step
- Separate routine preventive work from unplanned repairs so changes are easier to understand.
- Review recurring contractor costs and service dates against current agreements.
- Track repair history by equipment and location to spot repeated work.
- Keep a contingency line if your own past records show that maintenance costs vary.
